Practical ways to use AI for project management

Artificial intelligence can help to automate repetitive tasks, predicts project risks, and generates planning documents like work breakdown structures in seconds. In fact, Gartner research has predicted that by 2030, 80% of routine project management tasks would be handled by AI. Let’s take a look at top uses of AI in project management today.

Generate a work breakdown structure from project scope

Start with a clear scope statement, expected deliverables, constraints, and acceptance criteria, then ask generative AI tools to break that information into phases, work packages, and smaller project management tasks.

For example, a software launch team could upload its approved scope to a ChatGPT Project, ask for a hierarchical work breakdown structure. The same workspace can keep source files and instructions together for later revisions.

Draft project charters, objectives, and scope documents

Use a model to turn approved business context into first drafts of charters, objectives, assumptions, exclusions, and other project documentation. Natural language processing is useful for organizing scattered source material, but each statement should be checked against the sponsor’s decisions, contracts, policies, and other authoritative project documents.

For example, a marketing team preparing a website redesign could add its brief, stakeholder notes, and constraints to a Claude Project, then request a draft charter with objectives, scope boundaries, risks, and success criteria. Google’s Gemini can also analyze uploaded files, giving teams another way to assemble a first draft from existing materials.

Map task dependencies and forecast timelines

Use AI-assisted scheduling to suggest predecessor relationships, sequencing, and likely timing. This is most valuable when multiple projects compete for the same people because weak dependencies or unrealistic dates can create missed deadlines that are difficult to correct later.

A PMO could use these AI capabilities to model a draft schedule, then compare it with current project data and approved milestones before committing dates to project teams.

Run AI-assisted premortems to surface risks

A premortem asks the team to imagine that the planned work has failed and list plausible reasons why. AI can broaden the initial risk list when you provide the project description and relevant context, but people should challenge the output, add domain-specific potential risks, and decide which mitigations are credible enough to protect project success.

For a data migration, the facilitator could ask a model to analyze historical project data supplied by the organization and identify patterns linked to prior failures, then use those prompts in a live workshop. You can also check out Harvard Business Review’s premortem method and Reddit discussion among project managers that includes examples of using AI for preliminary QA and identifying unmapped dependencies and risks.

Use predictive analytics for resource and schedule risks

Predictive analytics can use machine learning and past performance information to forecast project outcomes, resource pressure, costs, or schedule risk. This is most useful when the underlying information is consistent and current, because poor or incomplete data can produce misleading recommendations and weak data driven insights.

A portfolio office could use predictive AI to compare likely project loads and timing across a portfolio, then review the forecast before changing staffing. The aim is to optimize resource allocation, not to hand control to an AI system. Human owners should confirm assumptions before changing resource management plans or delivery commitments.

Transcribe meetings and extract action items

Meeting transcription can reduce manual tasks by capturing what was discussed and creating draft meeting notes, decisions, owners, and follow-ups. The output should be reviewed promptly, especially when names, dates, or commitments matter.

In a weekly steering meeting, a team can enable transcription and use Microsoft 365 Copilot in Teams to summarize discussion points and suggest action items. The coordinator can then confirm owners and deadlines before moving approved actions into the project workflow. Also, AI can enhance communication by adapting messages for different stakeholders.

Summarize long communication threads into status updates

Use virtual assistants to condense long email or chat histories into a short status update covering decisions, blockers, changes, and next actions. This can reduce time consuming tasks in communication-heavy project environments, but the summary should be checked against the original thread before it is used for executive reporting or decisions.

A program lead returning from leave could use Copilot in Outlook to summarize a long email thread and Copilot in Teams to review recent chat decisions. The lead can then generate reports that separate confirmed facts, open questions, and next steps. AI is most useful when it works from real project inputs, such as meeting transcripts and task data, to create status reports, dependency checks, and weekly summaries that managers can review before acting.

Deploy AI agents

AI agents can work autonomously to monitor progress, automate routine workflows, and flag risks with minimal human intervention. They can also streamline coordination across teams by capturing meeting transcripts, extracting action items, and automatically creating tasks in project management platforms such as GoodDay.

Agents can also analyze backlogs and team capacity to recommend balanced sprint scopes and support more effective task planning. Today there is a broader shift: AI becomes more useful when teams move beyond one-off prompts and connect generative AI, automation platforms, project management tools, and project data into repeatable workflows that reduce manual work.

FAQs

Which AI tool is best for project management?

There is no single best tool for every team. The right choice depends on whether you need drafting, analysis, integrated scheduling, or in-workspace assistance. ChatGPT, Claude, Gemini, and Microsoft Copilot cover different needs, so compare their AI technologies, security, integrations, and governance before you implement AI.

Can project management be done by AI?

AI can automate routine processes, draft plans, summarize information, and assist with analysis, but it should not replace accountable human leadership when teams deliver projects. Managing projects still requires people to interpret context, resolve conflicts, approve decisions, and remain responsible for results throughout the project lifecycle. AI should not be a substitute for human oversight in project management.

What are some examples of how AI can be used in project management?
